BWCC POLICIES and Frequently Asked Questions

Does BWCC take insurance?

Yes, BWCC accepts many major insurance plans and Employee Assistance Program plans (EAPs). Please visit our insurance page for more information. If you have additional questions regarding insurance, please contact Lisa Kane at 410-768-6088 xt. 112.  For clients who prefer to self pay out-of-pocket, sessions are billed at a rate of $75 per hour. We also offer a sliding-scale fee based on your income. If you are uninsured or unable to pay our out-of-pocket fee, please speak with our scheduler about seeing a student intern therapist at a reduced cost.

What forms of payment are accepted?

Our practice gladly accepts cash, checks, money orders, and credit cards (Visa, MasterCard, Discover) for payment of co-pay, deductible fees and other relevant charges. If you are paying with cash, please bring your exact co-pay amount as we are typically unable to provide change. Checks or money orders can be made out to Baltimore Washington Counseling Center or BWCC. If your check is returned, you will be charged a $25 fee. Your co-pay will be collected by the receptionist at the time of check-in for your appointment. Failure to pay your co-pay upon check-in may result in a cancelled session. Please promptly discuss any payment/financial issues that might arise with your therapist.

How do I decide on a therapist to meet with?

Review our clinician's bios page to become familiar with the different therapists on our staff. When you speak with BWCC to schedule your intake appointment, you may choose to mention a specific therapist that you would prefer to see. If the therapist you select is not accepting new patients or is not credentialed with your insurance plan, our scheduling representative will work with you to help you find a therapist that meets your needs and fits with your schedule.

When should I arrive for my first appointment?

We ask that all patients arrive at least 20 minutes early for their first appointment to allow appropriate time for check-in without cutting in to your scheduled appointment time. Prior to your first appointment, please visit our forms page, print and complete the forms listed, and bring them in with you. Please note that some forms are unable to be saved and must be printed out immediately upon completion.

What will happen during my first appointment?

During your first appointment, you will meet with your therapist to review your completed Mental Health Assessment form, BWCC policies and procedures, and begin to discuss your goals for treatment. Please feel free to ask your therapist any questions that might come to mind during your first appointment. You can expect your first appointment to last anywhere from 45-60 minutes.

How often will I have therapy sessions?

During your first appointment, you and your therapist will discuss how often your scheduled therapy sessions will occur. Most sessions occur either weekly or bi-weekly (i.e. every-other-week). Frequency will be determined between you and your therapist and can be changed throughout the course of your treatment to meet your individualized needs.

What if I cannot make it to a scheduled appointment?

If you are unable to make an appointment, please contact your therapist as soon as possible. We require 24 hours' notice for cancellation of all appointments. If you need your therapist's contact information, please visit our clinician's bios page to find his/her phone number and e-mail address. If an appointment is missed or cancelled with less than 24-hour notice, you may be subject to pay a $50.00 fee. Your insurance plan will not cover your late/missed appointment fee. If late/missed fees are accrued without prompt payment, your appointments may be suspended indefinitely. Please promptly discuss any scheduling challenges that may arise with your therapist.

What is the BWCC holiday and inclement weather policy?

Our practice does not close for holidays or inclement weather. Therapists may continue to hold appointments and/or groups on holidays or during inclement weather. It is your responsibility to always check with your individual therapist regarding changes in scheduling due to holidays or weather events. In the case of inclement weather, please contact your individual therapist or group leader immediately if you are unable to attend your session. Your therapist will also contact you directly and as soon as possible if she/he is unable to make it to our practice for your session.

What if I feel like my therapist and I are not a good match?

If you have met with your therapist for several sessions and do not feel as if it is a good working relationship, we encourage you to bring this to your therapist's attention as soon as possible to discuss the potential for transferring to another therapist. A good rapport is essential to the therapeutic process and all therapists understand that sometimes their style is not always aligned with a client's personality, wants, or needs. You may also speak to our scheduling representative, Lisa Kane, regarding transferring to another BWCC therapist. Lisa can be reached at 410-768-6088 xt. 112 or lisa.kane@bwcc-counseling.com.

If you have any other questions, please discuss them with your therapist or a BWCC representative by emailing
